Basic Settings<\/span><\/h1>\n

The pages listed here control the default settings for your school’s SchoolMate account.<\/p>\n

<\/a>General Data: <\/strong><\/span><\/h2>\n

This top section controls the information displayed on your school\u2019s SchoolMate login page. Most of these details will be completed when we set up your account. The remaining fields are straightforward and allow you to update your school\u2019s basic information as needed.<\/p>\n

Classes:<\/strong><\/span><\/h2>\n

These settings help streamline scheduling and ensure consistency across your timetable.<\/p>\n

  1. This controls the items that appear in the Schedule<\/a><\/span><\/span> on the dashboard.<\/li>\n
  2. Teaching Days:<\/strong> Select the days of the week your school holds classes.<\/li>\n
  3. Opening Hours:<\/strong> Set the times your school is open each day.<\/li>\n
  4. Default Lesson Length:<\/strong> This is the duration automatically filled in when creating a new group. Enter the lesson length your school uses most often.<\/li>\n<\/ol>\n

    System Configuration:<\/span><\/strong><\/h2>\n

    This section customizes how SchoolMate functions based on your school\u2019s operational needs. Most options are self-explanatory, but additional descriptions are provided where clarification may be helpful. Adjust these settings to tailor the system to your workflow.<\/p>\n

    1. Messages:<\/strong><\/li>\n<\/ol>\n

      [vc_message]This first section is about<\/span> System Messages.<\/a><\/span><\/strong><\/span> SchoolMate has an internal messaging system through which users can send messages to other users if they have permission.<\/span>[\/vc_message]<\/p>\n

        1. Students can send messages to other students.<\/span><\/strong><\/li>\n
        2. Teachers can send messages to other teachers.<\/span><\/strong><\/li>\n
        3. All recipients visible in messages.<\/span><\/strong><\/li>\n
        4. Link in messages; <\/span><\/strong>senders of messages can include a clickable URL link in their system message.<\/span><\/li>\n
        5. Students can send messages to teachers.<\/span><\/strong><\/li>\n
        6. Teachers can send messages to students.<\/span><\/strong><\/li>\n<\/ol>\n<\/li>\n
        7. Teachers: – <\/strong>most of these allow teachers to do things when logged into their SchoolMate account. There are user guides for teachers here<\/span><\/a><\/span>.\n
            \n
          1. Show teachers “Show my lessons” – <\/strong>When this option is enabled, teachers will be able to view information entered by other teachers who they share a group with. Deactivating this mean that they will only see their own lessons not the other teacher’s lessons.<\/li>\n
          2. Teachers can send assessment report – <\/strong>When this option is checked, teachers can email a completed assessment report<\/span><\/a><\/span> directly to the student after creating it.<\/li>\n
          3. Teachers can manage their schedules – <\/strong>Enables teachers to change the dates and time of classes and set class statuses.<\/li>\n
          4. Teachers can add and delete lessons.<\/strong><\/li>\n
          5. Teachers can see students’ contact details<\/strong>\u00a0 – emails and phone numbers.<\/li>\n
          6. Teachers can check the homework<\/strong> \u2013 with this option enabled, teachers can indicate whether the student has done their homework when completing Class Details.<\/span><\/a><\/span><\/li>\n
          7. Teachers can see rooms\/teachers\/groups\u00a0<\/strong>calendar<\/a><\/span><\/span><\/li>\n
          8. Teachers share the grades in groups.<\/strong><\/li>\n
          9. Teachers can publish and unpublish class details. <\/strong>This activates a button in Class Details<\/span><\/a><\/span> to publish the lesson details and share with students in the group.<\/li>\n
          10. Teachers can see classroom location.<\/strong><\/li>\n
          11. Archived lessons<\/strong><\/a><\/span><\/span> are accounted for in teachers\u2019 settlements<\/strong> \u2013 you will be able to calculate the teacher’s wages even if a group is archived.<\/li>\n
          12. Teachers can edit their profile. <\/strong>They will be able to add and edit information about their education, specialisation, qualifications and languages.<\/li>\n
          13. <\/a>Consolidated students\u2019 list<\/a><\/span><\/span> displayed for teachers and companies. <\/strong>This shows a list of students taught by the teacher.<\/li>\n
          14. Teachers can pick the date for each grade<\/strong> \u2013 This allows the teacher to manually enter the date the\u00a0g<\/span>rade<\/span>\u00a0<\/a>was given.<\/li>\n<\/ol>\n<\/li>\n
          15. Group Management:<\/strong>\n
              \n
            1. <\/a>Create contact groups. <\/strong>Enables the option to create different contact groups <\/a><\/span><\/span>and link teaching groups to them.<\/span><\/span><\/li>\n
            2. Planned groups<\/strong><\/span><\/span><\/a> option (data invisible for students and teachers).<\/strong> Useful if you do not want to release details of a group and lessons until later.<\/li>\n
            3. Assigning\u00a0payment scheme<\/a><\/span><\/span> to a group.<\/strong> If this is activated, payment schemes can be assigned automatically to all students in a group.<\/li>\n
            4. <\/a>Spots reserved and awaiting in the group<\/strong>. This created a reservations list. This works in conjunction with another setting here<\/span><\/a>.<\/a><\/li>\n
            5. Display\u00a0form for instalment\u00a0settings in group.<\/strong> This switches the Generate Instalment<\/a><\/span><\/span> feature on or off.<\/li>\n
            6. Possibility to archive<\/a><\/span><\/span> classes in groups.<\/strong><\/li>\n
            7. Room Conflicts in lessons.<\/strong> Many schools use a single classroom to put their online lessons in. This can result in multiple lessons in the same classroom and this creates conflicts<\/a><\/span><\/span>. Unticking this box tells the system to ignore classroom conflicts.<\/li>\n
            8. Hide Resources Module. <\/strong>Removes\u00a0the Resources Module<\/a> <\/span><\/span>from teachers and students’ menus when they login.<\/li>\n
            9. Confirm the overwriting price of the group student when group price is changed.<\/strong> When you overwrite a student’s existing group price, possibly with a discount, the system will ask you to confirm the action.<\/li>\n<\/ol>\n<\/li>\n
            10. Student:<\/strong>\n
                \n
              1. Can access student additional information.<\/a><\/span><\/span><\/strong>\u00a0This allows students to access and update the Additional<\/a>information card connected to their Student Card.<\/li>\n
              2. Activate\u00a0parents\u2019 accounts<\/a><\/span><\/span><\/strong>. This allows the creation of parents’ login credentials on the student card.<\/li>\n
              3. Generate students\u2019 logins with consecutive numbers.<\/strong><\/li>\n
              4. Marking the participant\u2019s contract state<\/a><\/span><\/span>\u00a0(signed\/unsigned).<\/strong><\/li>\n
              5. Display students\u2019\u00a0birthdays\u00a0on the main page<\/strong><\/span><\/span><\/a>.<\/strong><\/li>\n
              6. Display additional information<\/a><\/span><\/span> about\u00a0students\u2019 levels<\/strong> in their groups.<\/li>\n
              7. Can select the days<\/a><\/span><\/span> the student attends classes. <\/strong>If a group has, for example, lessons twice per week and a student is only attending one day per week, then if you click on this button you can deselect the day that the student does not attend.<\/li>\n<\/ol>\n<\/li>\n
              8. Miscellaneous<\/strong>\n
                  \n
                1. Save date for creating subsequent transactions.\u00a0<\/strong>When you are adding several payments with an identical date retrospectively, this option allows you to remember the date entered in the first transaction edit window and display (save) it when adding subsequent payments.<\/li>\n
                2. Display more information on the rooms\/teachers calendar (XLS file).<\/strong><\/li>\n
                3. Colour customisation on the calendar.<\/strong> You can choose different colours for languages, teachers etc., to make them easier to distinguish on the calendars.<\/li>\n
                4. Display classroom on the classes list.<\/strong><\/li>\n
                5. <\/a>Display groups on students list. <\/strong>With this activated you add a “Group” column to the settings of the students\u2019 list.<\/li>\n
                6. Combine student accounts for parental log in.<\/strong><\/span><\/span><\/a> When siblings are taught at your school, it allows you to combine accounts so that the parent can access their children’s records using one login.<\/li>\n
                7. Recalculate student\u2019s rate when hourly payment in advance. <\/strong>The system will recalculate the rate if you change the length of the lesson.<\/li>\n
                8. Generate instalments without rounding.<\/strong><\/li>\n
                9. Enable time tracking. <\/strong>Some European Union countries require permanent unalterable records of all employees’ hours worked. This feature creates them. There is a tutorial here<\/a>.<\/span><\/span><\/li>\n
                10. <\/a>Activate for Italian Electronic Invoicing. <\/strong>This is a feature that allows schools to upload their invoices in XML format into the Italian government’s accounting system. There is a tutorial here<\/span><\/a>.<\/li>\n
                11. Show approved teacher card.<\/strong> Teachers might be qualified to teach a group, but if the group doesn’t want the teacher, or the teacher doesn’t want to teach the group they can be removed from searches. There is a further explanation here<\/span><\/a>.<\/li>\n
                12. Auto payment for Goods and Services.<\/strong> This will remind you to charge students for certain items: books, registration fees when dealing with their payments. More information here<\/span><\/a><\/span>.<\/li>\n
                13. Allow multiple invoice details.<\/strong> This allows schools to have different business identities and issue invoices and documents in different names. These identities are added in Finance – Settings – Issuer Details<\/a><\/span><\/span>.<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n

                  Numberings:<\/span><\/h2>\n

                  The Numbering Settings allows you to create the numbering schemes you want to apply to your financial documents and contracts. You will not be able to create a document until a numbering scheme has been created for that type of document.<\/p>\n

                    \n
                  1. Some business services provided by schools are subject to tax, while others are not, or must be invoiced through different legal entities. For this reason, schools often operate under multiple financial identities when issuing documents. If you have \u201cAllow multiple invoice details\u201d switched on in Miscellaneous Settings \u2013 See 13 above -, you will be able to select the business identity that you wish to add numbering schemes for.<\/li>\n
                  2. Click \u201cAdd\u201d.<\/li>\n
                  3. Give a name to the document for which you are going to create a numbering scheme.<\/li>\n
                  4. Select the document type.<\/li>\n
                  5. Select when you would like the document number to restart at 1. ( see Advanced Settings below).<\/li>\n
                  6. Create a numbering format for the document . To create the format click on the variables: \u201cnumber\u201d, \u201cmonth\u201d and \u201cyear\u201d. They will then appear in the template field. You can change the order of the variables by changing the order in which they are clicked. You can separate the variables with backslashes and add a prefix i.e: INV: {number}\/{month}\/{year}.<\/li>\n
                  7. When you have finished click \u201cSave\u201d.<\/li>\n<\/ol>\n

                    Advanced Settings \u2013\u00a0<\/strong>in this section we tell the system what to use in the numbering format.<\/p>\n
